1. What information do we collect?
Information you disclose to us
In Short: We collect information that you provide to us.
Capitalised terms used in this Privacy Policy which are not defined here, including Essential Criteria, Free Trial, Guarantee Period, Live Search, Matching Home, Search Fee, Search Membership and Verification, have the meanings given to them in our Terms of Use for Consumers.
We distinguish between the following categories of data:
- “Personal Data”: information that identifies or can identify an individual, such as names, email addresses, phone numbers, and account details.
- "Property Data”: means all information relating to a property including but not limited to photographs, videos, floorplans, descriptions, location information, ownership information, occupancy information, rental information, listing information, pricing information, transaction history, utility information, energy performance information, planning information and associated metadata.
Much of the data on our platform relates to properties rather than individuals. However, Property Data may constitute Personal Data where it relates to an identifiable individual (for example, where ownership, occupancy, or contact details are linked to a property).
Where Property Data constitutes Personal Data, we process it in accordance with this Privacy Policy and applicable data protection law.
Where Property Data does not relate to an identified or identifiable individual, it is not personal data for the purposes of applicable data protection legislation. We nevertheless handle such information responsibly and apply appropriate security measures consistent with the nature of the information and our business operations.
We collect information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.
The information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The information we collect may include the following (a non-exhaustive list):
- names
- phone numbers
- email addresses
- mailing addresses
- job titles
- usernames
- passwords
- contact preferences
We do not collect payment details in order to start a Free Trial. No payment information is collected, and no payment is taken, during a Free Trial. Payment card details are collected only when you choose to begin a paid Search Membership.
If you purchase a subscription, Search Membership or any paid services through the Platform, payment information will be collected in connection with that transaction. Depending on the payment method used, this may include billing name and address, payment amounts, transaction references, payment status, subscription details, VAT information and limited payment card information such as the last four digits of a payment card and card type where made available to us by our payment processor. We do not store or have access to your complete payment card number, CVV or other authentication credentials. Payment information is processed by our payment provider, which acts as our data processor when processing payment information on our behalf for the purposes of completing transactions, preventing fraud and maintaining payment records. Oskar does not store your full payment card details.
Identity verification information
In Short: We verify your identity before your search is made visible to estate agents. This happens before any payment relationship exists.
Before a property search profile can become a Live Search, we require you to complete identity verification. Verification takes place before your search requirements are made visible to participating estate agents, and it applies during a Free Trial in the same way as it applies afterwards. Because no payment details are collected to start a Free Trial, verification data is collected at a point when no payment relationship exists between you and us.
We use Stripe to verify your identity. Stripe collects name, email, phone number, address, facial images, identity document images, and ID numbers as well as advanced fraud signals and information about the devices that connect to its services. Stripe shares the result of your Verification process with us and also uses this information to operate and improve the services it provides, including for fraud detection. You may also choose to allow Stripe to use your data to improve Stripe’s biometric verification technology. You can learn more about Stripe and read its privacy policy at https://stripe.com/privacy.
Our legal basis for processing verification data is the performance of our contract with you, and our legitimate interests in preventing fraud, protecting estate agents from unqualified enquiries and maintaining the integrity of the Platform.
We retain the outcome of a verification check, and the limited identifiers needed to evidence that it was carried out, for six (6) years from the end of your relationship with us. Identity document images and facial images are held by Stripe under its own retention arrangements, described in its privacy policy.
Records we keep for the No Match Refund Guarantee
In Short: We keep a record of the homes made available to you, so that we can administer the No Match Refund Guarantee.
We retain records of the homes made available to each buyer through the Platform, the successive versions of their property search profile, their activity on the Platform and the date and circumstances of any cancellation, in order to administer the No Match Refund Guarantee and to handle and assess claims under it.
Our legal bases for this processing are the performance of our contract with you, and our legitimate interests in handling claims fairly, resolving disputes and preventing abuse of the guarantee.
All information that you provide to us must be true, complete and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information - such as your Internet Protocol (IP) address and/or browser and device characteristics - is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.
Like many businesses, we also collect information through cookies and similar technologies.
The information we collect includes:
- Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called 'crash dumps'), and hardware settings).
- Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.
- Location Data. We collect location data such as information about your device's location, which can be either precise or imprecise. How much information we collect depends on the type and settings of the device you use to access the Services. For example, we may use GPS and other technologies to collect geolocation data that tells us your current location (based on your IP address). You can opt out of allowing us to collect this information either by refusing access to the information or by disabling your location setting on your device. However, if you choose to opt out, you may not be able to use certain aspects of the Services.
Information collected from other sources
In Short: We may collect limited data from public databases, marketing partners, and other outside sources.
In order to enhance our ability to provide relevant marketing, offers, and services to you and update our records, we may obtain information about you from other sources, such as public databases, joint marketing partners, affiliate programmes, data providers, and from other third parties. This information includes mailing addresses, job titles, email addresses, phone numbers, intent data (or user behaviour data), Internet Protocol (IP) addresses, social media profiles, social media URLs, and custom profiles, for purposes of targeted advertising and event promotion.
2. How do we process your information?
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.
We process your information for a variety of reasons, depending on how you interact with our Services, including:
- To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
- To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.
- To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.
- To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.
- To enable user-to-user communications. We may process your information if you choose to use any of our offerings that allow for communication with another user.
- To send you marketing and promotional communications. We may process the Personal Data you send to us for our marketing purposes, if this is in accordance with your marketing preferences. - To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention.
- To identify usage trends. We may process information about how you use our Services to better understand how they are being used so we can improve them.
- To determine the effectiveness of our marketing and promotional campaigns. We may process your information to better understand how to provide marketing and promotional campaigns that are most relevant to you.
- To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual's vital interest, such as to prevent harm.
- To provide historical insights and data analysis, improve our platform functionality, and maintain continuity of listing data.
- To contact you after a Free Trial ends. Where your Free Trial ends without you starting a paid Search Membership, we may email you about making your search live again, where you have consented to receive marketing from us.
We may use artificial intelligence ("AI"), machine learning, predictive analysis and automated systems in connection with our Services to:
- analyse and organise Property Data;
- generate property insights and summaries;
- improve search functionality;
- assist users in identifying market trends;
- detect fraud, spam or misuse; and
- improve our products and services.
AI outputs are generated automatically and should not be regarded as professional advice. While we seek to ensure the accuracy of AI-generated content, we do not guarantee that such outputs are complete, accurate or suitable for any particular purpose. Users should exercise their own judgment and obtain appropriate professional advice where necessary.
Where AI systems process Personal Data, we do so in accordance with applicable data protection laws and appropriate technical and organisational safeguards.
We may use aggregated or anonymised information derived from users' interactions with our Services to improve the performance, accuracy and functionality of our artificial intelligence features and other products and services. Where information has been anonymised, it can no longer be used to identify an individual.
We do not use identifiable personal data to train or improve artificial intelligence models unless we have an appropriate legal basis to do so under applicable data protection laws.
3. What legal bases do we rely on to process your information?
In Short: We only process your Personal Data when we believe it is necessary and we have a valid legal reason (i.e. legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfil our contractual obligations, to protect your rights, or to fulfil our legitimate business interests.
The UK General Data Protection Regulation (GDPR) and, where applicable, EU GDPR require us to explain the valid legal bases we rely on in order to process your Personal Data. As such, we may rely on the following legal bases to process your Personal Data:
- Consent. We may process your Personal Data if you have given us permission (i.e. consent) to use your Personal Data for a specific purpose. You can withdraw your consent at any time. Learn more about withdrawing your consent.
- Performance of a Contract. We may process your Personal Data when we believe it is necessary to fulfil our contractual obligations to you, including providing our Services or at your request prior to entering into a contract with you.
- Legitimate Interests. We may process your information when we believe it is reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms. For example, we may process your Personal Data for some of the purposes described in order to:
- Send users information about special offers and discounts on our products and services;
- Analyse how our Services are used so we can improve them to engage and retain users;
- Support our marketing activities;
- Diagnose problems and/or prevent fraudulent activities; and
- Develop, test and improve our artificial intelligence functionality, search capabilities and analytical tools using information processed in accordance with this Privacy Policy.
- Legal Obligations. We may process your Personal Data where we believe it is necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency, exercise or defend our legal rights, or disclose your information as evidence in litigation in which we are involved.
- Vital Interests. We may process your Personal Data where we believe it is necessary to protect your vital interests or the vital interests of a third party, such as situations involving potential threats to the safety of any person.

4. When and with whom do we share your personal information?
In Short: We may share information in specific situations described in this section and/or with the following categories of third parties.
Vendors, Consultants, and Other Third-Party Service Providers. We may share your data with third-party vendors, service providers, contractors, or agents ('third parties') who perform services for us or on our behalf and require access to such information to do that work. We have contracts in place with our third parties, which are designed to help safeguard your Personal Data. This means that they do not have the right to do anything with your Personal Data unless agreed by us. They will also not share your Personal Data with any organisation apart from us. They also commit to protect the data they hold on our behalf and to retain it for the period we instruct.
Some of the services we provide make use of third-party artificial intelligence service providers acting on our behalf. Where users choose to use AI-powered functionality, information submitted through those features may be processed by those providers solely for the purpose of providing the relevant functionality, subject to appropriate contractual confidentiality, security and data protection obligations.

Where we engage artificial intelligence service providers, we do not permit them to use your personal data for their own purposes except where you have been informed otherwise or where required by law.
We also may need to share your Personal Data in the following situations:
- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
- When we use Google Maps Platform APIs. We may share your information with certain Google Maps Platform APIs (e.g. Google Maps API, Places API). Google Maps uses GPS, Wi-Fi, and cell towers to estimate your location. GPS is accurate to about 20 meters, while Wi-Fi and cell towers help improve accuracy when GPS signals are weak, like indoors. This data helps Google Maps provide directions, but it is not always perfectly precise. We obtain and store on your device ('cache') your location. You may revoke your consent anytime by contacting us at the contact details provided at the end of this document.
- Business Partners. We may share your information with our business partners to offer you certain products, services, or promotions.
- Other Users. Where you submit a property search request or otherwise ask us to introduce you to estate agents, we will share relevant Personal Data with one or more estate agents that we determine are suitable for your requirements. We share this information only with estate agents that we reasonably consider may be able to assist with your property search and only to the extent reasonably necessary to provide the Services you have requested. We process and disclose this information because it is necessary for the performance of our contract with you, namely providing the property search, matching and introduction services requested through the Platform. In some circumstances we also rely upon our legitimate interests in operating and improving the Platform, facilitating introductions between consumers and estate agents, preventing fraud, and maintaining appropriate records of introductions. Once your Personal Data has been disclosed to an estate agent for the purposes of contacting you, providing property search services, arranging viewings, progressing a potential transaction or complying with that estate agent's own legal or regulatory obligations, that estate agent will generally act as an independent data controller in respect of its own processing of your Personal Data. This means that the estate agent will determine independently how it uses your Personal Data after receiving it from us, and its processing will be governed by its own privacy policy and legal obligations under applicable data protection legislation. Oskar does not control the estate agent's subsequent processing of your Personal Data once it has been disclosed for those purposes.
What happens to your data when a search stops being live
Your search stops being live either when a Free Trial ends without a paid Search Membership starting, or when you cancel. In both cases the same thing happens to your data.
Your search requirements are withdrawn from participating estate agents and are no longer visible to them, and we instruct them to stop using them. Information that estate agents already received while your search was live remains held by them as independent data controllers, governed by their own privacy notices and by their agreement with us. We cannot require an estate agent to delete information it holds as an independent controller, although you may exercise your data protection rights directly against that agent.
Your property search profile is retained in your account so that you can make your search live again later, unless you ask us to delete it or you delete your account.
5. Do we use cookies and other tracking technologies?
In Short: We may use cookies and other tracking technologies to collect and store your information.
We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. Some online tracking technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.
We also permit third parties and service providers to use online tracking technologies on our Services for analytics and advertising, including to help manage and display advertisements, to tailor advertisements to your interests, or to send abandoned shopping cart reminders (depending on your communication preferences). The third parties and service providers use their technology to provide advertising about products and services tailored to your interests which may appear either on our Services or on other websites.
We use the following categories of cookies and similar technologies:
- Strictly necessary cookies: required for the operation and security of our Services;
- Functional cookies: to remember your preferences and improve your experience;
- Analytics cookies: to understand how visitors use our Services and improve performance;
- Performance cookies: to measure and optimise website functionality; and
- Advertising and marketing cookies: to measure advertising effectiveness and deliver relevant content where you have consented.
Except for strictly necessary cookies, we will only place cookies on your device where required by law after obtaining your consent through our cookie consent platform. You may withdraw or amend your consent at any time by adjusting your cookie preferences.
Cookies may remain on your device for different periods. Session cookies expire when you close your browser. Persistent cookies remain until deleted or until their expiry date.

6. Is your information transferred internationally?
In Short: We may transfer, store, and process your information in countries other than your own.
Our Services are hosted using infrastructure and service providers located in the United Kingdom, United States and, where necessary, other jurisdictions. As a result, your personal information may be transferred to, stored or processed outside your country of residence .
Please be aware that your information may be transferred to, stored by, and processed by us in our facilities and in the facilities of the third parties with whom we may share your personal information (see ‘WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?’ above), in other countries.
If you are a resident in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, then these countries may not necessarily have data protection laws or other similar laws as comprehensive as those in your country. However, we will take all necessary measures to protect your personal information in accordance with this Privacy Policy and applicable law.
European Commission’s Standard Contractual Clauses:
We have implemented measures to protect your personal information, including by using the European Commission’s Standard Contractual Clauses for transfers of Personal Data between our group companies and between us and our third-party providers. These clauses require all recipients to protect all personal information that they process originating from the EEA or UK in accordance with European data protection laws and regulations. Our Standard Contractual Clauses can be provided upon request. Where required by law, we implement appropriate safeguards.
7. How long do we keep your information?
In Short: We keep your information for as long as necessary to fulfil the purposes outlined in this Privacy Policy unless otherwise required by law.
We apply different retention periods depending on the nature of the data we process, in accordance with the principles of data minimisation, storage limitation, contractual obligations, dispute and legal claim limitation periods and purpose limitation under applicable data protection laws,
Personal Data
When you delete your account, we will retain your Personal Data for a limited period of up to 14 days from the date of deletion. This retention period is strictly limited to what is necessary for the following purposes:
- Account reinstatement: to enable restoration of your account in the event of accidental or unintended deletion or if you reverse your decision to delete your account;
- Dispute resolution and complaints handling: to investigate and respond to any disputes, complaints or queries raised by you or third parties;
- Legal and regulatory compliance: to comply with applicable legal obligations and to establish, exercise or defend legal claims.
This processing is carried out on the basis of our legitimate interests, namely ensuring service continuity, maintaining platform integrity, and protecting our legal position, provided that such interests are not overridden by your rights and freedoms.
At the end of this 14-day period:
- your Personal Data will be permanently deleted from active systems; or
- where appropriate, irreversibly anonymised such that it can no longer be associated with an identifiable individual.
We implement controls to ensure that no Personal Data is retained beyond this period except where required by law.
Property Data
We retain Property Data on an ongoing basis in order to: operate and maintain the functionality of the platform, provide historical and analytical insights relating to property listings, improve our Services, including through data analysis and product development and ensure continuity and integrity of listing data over time.
This processing is carried out on the basis of our legitimate interests in operating and improving our platform.
Where Property Data includes or could reasonably be linked to Personal Data, we implement appropriate safeguards, including:
- removal of direct identifiers (such as names and contact details);
- aggregation or anonymisation of data where feasible; and
- technical and organisational measures designed to prevent re-identification of individuals.
We may use this anonymised data for analytics, research, product development, and commercial purposes.
Images and Embedded Personal Data
Where Property Data includes images or media:
- users are required not to upload images containing identifiable individuals or personal photographs;
- we may review and remove, redact or apply technical measures (such as blurring) to any content that may contain Personal Data;
- upon account deletion, any images containing Personal Data will be deleted or irreversibly anonymised.
Backups and residual data
Deleted data may persist for a limited period in secure backup systems. In such cases:
- access to backup data is strictly restricted;
- backup data is not used for any active processing purposes; and
- such data is automatically overwritten or securely deleted.
Billing and payment records
We retain transaction records, invoices and associated billing information for as long as reasonably necessary to administer your account, process refunds where applicable, resolve disputes and comply with our legal, tax and accounting obligations.
Where required by applicable law, accounting and tax records may be retained for up to six years after the end of the relevant financial year (or such longer period as required by law).
Payment card details are not retained by us except for limited payment identifiers made available by our payment processor where necessary to identify transactions or administer subscriptions.
Records kept for the No Match Refund Guarantee
We retain records of the homes made available to you, the versions of your property search profile, your activity on the Platform and your cancellation for six (6) years from the end of your Free Trial or, if applicable, the expiry of your Search Membership, in order to administer and evidence the No Match Refund Guarantee and to establish, exercise or defend legal claims.
Identity verification records
We retain verification records in accordance with the periods set out under ‘Identity verification information’ in section 1 above.
Ongoing review
We periodically review our data retention practices to ensure that data is not retained for longer than necessary and that our retention periods remain proportionate, justified and compliant with applicable data protection laws.
8. How do we keep your information safe?
In Short: We aim to protect your information through a system of organisational and technical security measures.
We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorised third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.
